Job Summary:
- The Database and Reporting Administrator (DRA) will develop into the subject matter expert (SME) as it relates to the business database, reporting and performance of the role’s responsibilities, which includes administering various system setups and tasks specific to, but not limited to the essential duties and responsibilities described in this job description.
- Develop reporting utilizing static database features or its custom SQL Designer tools, dependent on business strategy and rules, and/or ad-hoc requests.
- The DRA will be point of contact with the business hosted system and outsourced IT vendors, for planning and execution of new developments or updates to current configurations, collaborating as a consult with technical expertise.
- The DRA may perform certain deliverables outside of an automated job / scripted process, for scheduled reporting, monitoring, tracking, testing, or audit purposes.
- As needed, the DRA will participate in manager meetings and leverage their technical knowledgebase in collaboration with internal management, while providing solutions considering risk management and the organization’s success.
- In developing into the SME, educational courses or webinar participation may be required as it relates to the business industry, system enhancements and training, and/or client requisite.
- The DRA will report to, and co-manage relevant projects, under the supervision of the VP, Compliance & Special Projects. At opportunity and growth, the DRA will be considered for a lead role.
Leadership Participation
- Participate and collaborate within round-table meetings and/or ongoing, leveraging technical expertise in efforts to provide and present cost-effective solutions, streamline processes and strategy recommendation.
- Prepare presentation material as applicable or upon request.
Reporting (Standard and Custom) and System Workflow Build
- Create custom and analyze SQL reports utilizing the CRM’s Reports / SQL Designer or Analytics tools; if applicable, integrating an extension of Excel macro script queries and file conversions.
- Create, update, monitor and/or test CRM and dialer platform on-demand or scheduled jobs, which may include tasks specific to and availability, but not limited to; standard / SQL report generation, workflows, action paths, folder file transfers, exports / imports, file conversions, etc.
- Setup or update, client or campaign level profiles within dialer platform settings.
Analysis and Compliance
- Create and assign new user access, modify active user permissions and restrictions within CRM, Dialer platform, or other application / database, as needed or upon request.
- Reviews new or current reports by performing reconciliations at an account level and all-encompassing for accuracy, as needed.
- Perform periodic auditing / monitoring of jobs setup, file import / export processes and results for risk management and oversight prevention.
- Document customer accounts, perform amount transactions, or update relevant account information within the CRM system, for record, tracking and compliance purposes.
- Log and track troubleshoot incidents where needed or required for historical, pattern identification, compliance and/or reporting purposes.
- Use of best judgement to immediately escalate and present solution for deficiencies, infraction patterns or out of compliance matters to direct supervisor or upper management.
- Assess or troubleshoot database / application or ISP connection issues where possible leveraging technical knowledge base and/or escalating with IT/vendor POC / support channel.
- Manually generate scheduled, or on ad-hoc, system standard reports on a per need basis.
Training / Education
- Obtain ongoing training as it relates to the organization’s policies and procedures, business industry, client-specifics, and systems such as, but not limited to, the customer records management (CRM) system, dialer platform, client platforms, and/or other user interface systems, where applicable, through side-by-side training, webinar, virtual or voice conference, remote setting, appointed educational courses or reading material.
- Provide general or detailed, verbal, or written training to internal peers and/or management as needed, or upon request as it relates to system business rules and procedure change.
- Create or update policies and procedures, specific or relevant to the DRA job duties / responsibilities.
Ad-hoc
- Some application installs or hardware setup, in collaboration with outsourced IT vendor.
- Build and maintain rapport with IT support and database vendors
- Log and prioritize job tasks and project planning, from beginning to end.
- Follow business policies and procedures.
- Performs ad-hoc administrative duties where needed.
Requirements:
- SQL experience mandatory.
- Bachelor’s Degree or equivalent experience preferred.
- Ability to communicate and translate technical terminologies to non-technical personnel is critical.
- Strong organizational and time management skills with ability to multitask and work in a fast-paced environment and deliver within established timelines.
- Strong technical foundation with demonstrated willingness and capability to learn new technologies quickly.
- Excellent verbal / written communication and strong listening skills.
- Prior experience working across organizational leadership, with the ability to understand technical topics across multiple domains.
- Detail oriented with proven track record for accuracy. Strong analytical, problem solving, critical thinking and solid data mining skills.
- Ability to absorb information about the client's operations, analyze the data, and make clear and useful recommendations.
- Ability to accept accountability for own actions.
- Self-motivated, strives for continuous improvement, confident and reliable.
- Team-oriented approach and supports a positive employee morale.
- Demonstrates a sense of urgency and drives issues to closure.
- Knows where to go for answers; utilizes resources efficiently.
- Advanced knowledge of Microsoft products and strong with Excel, i.e., macros, pivot table, v-lookup, scripting.
- Minimum of 3+ years’ experience, preferably in a fast- paced environment; experience within the Accounting, Financial or Credit and Collections industry a plus.
- Startup experience a plus.
