Varca is a small but mighty team of motivated and creative people. We design and produce high-end, high-fashion wedding gowns, distributed in retailers worldwide. Varca’s development team is based in Chicago and the majority of our production is based in NYC.
Our primary focus changes seasonally based on bridal sales seasons and new collection development. Typically a year is broken into 4 months of collection development, with the collection launching for April New York Bridal Market, followed by 10 months of production, delivery, and post production planning. Sales of current offering and inventory management is year round, changing based on new styles launching and old styles being archived.
We need a highly-ambitious person to join our team as Logistics Manager. This role requires organization and prioritization to meet rolling deadlines. All our gowns are made-to-order with a 4-6 month lead time, with over 20 different styles in our current offering, all requiring a unique and lengthy bill-of-materials, organizing and tracking orders is complex but exciting.

POSITION ACTIVITIES & RESPONSIBILITIES
- Receive, catalog, and invoice for all orders (stock and real bride) from our worldwide retailers
- Maintain and organize delivery timelines for all orders
- Track order deposits and final payments via Quickbooks
- Update retailers about the status of their orders when they are ready to ship
- Oversee and confirm shipment deliveries from both Chicago atelier and NYC factory
- Create monthly performance reports for sales based on gown styles and retailer sales
- Communicate with our NYC production team about supplies needed for production runs.
- Order and maintain stock for production teams in both NYC and Chicago
- Track and manage inventory for fabric and other production supplies
- Maintain, organize, and order fabric and other production supplies based on sales reports
- Maintain relationships with both international and domestic merchants and suppliers
- Track supplier and merchant orders and update production teams based on estimated delivery times
SECONDARY RESPONSIBILITIES - Filter retailer questions such as customizations and website inquiries before involving the design team
- Confirm and communicate with models, photoshoot venues, photographers, and hair and make-up artists for new collection campaigns and New York Bridal Fashion Week.
- Confirm and communicate travel plans and accommodations for New York Bridal Fashion Week.
- Book private showings and communicate with retailers for New York Bridal Fashion Week new collection debut
- Communicate with and update retailers about international events that affect production timelines, or fabric shortages and delays
- Learn new organizational skills to fulfill the needs of a rapidly-expanding business
- A love for the bridal industry, passion for fashion, and respect for start-ups who have forged their own path
- Experience with Quickbooks for invoicing and bookkeeping (strongly preferred)
- Proficiency with Google Sheets for tracking orders and sales statistics (strongly preferred)
- Strong written communication skills for frequent emailing with retailers, clients, vendors, and creative partners
- Inventory order placement and tracking experience
- Managing calenders
- Familiarity with apparel production
- A positive attitude and team player mindset
- Promptness, a bias for action, and a drive to learn new things
