Marketing & Events Coordinator, ICNC & The Hatchery - Chicago, IL
The Industrial Council of Nearwest Chicago (ICNC) is seeking a highly organized, fast acting, and intuitive individual who will be responsible for coordinating and overseeing communications and events.
You will have the exciting opportunity to join our marketing team and create exceptional events for the community of the West Side of Chicago, including networking events for local entrepreneurs, panel discussions, immersion experiences for corporate partners, leadership summits, team-building sessions, experiential events, and more.
The events are run out of ICNC’s two startup business incubators, Make City and The Hatchery. Make City is an industry agnostic incubator while The Hatchery focuses specifically on food & beverage businesses. They are one-stop-shops aiming to solve three major challenges in their industries: access to production space, financing, and resources.
The ideal candidate possesses strong communication and customer service skills, enjoys working in a fast-paced, entrepreneurial environment, and fosters relationships with community sponsors. The Event Coordinator must be able to work flexible hours, nights, and weekends based on business need. Ability to grow within the organization over time.

Responsibilities:
Administrative - Create and Coordinate Events
- Coordinate and manage all events, including networking events, panels, immersion experiences, leadership summits, team building sessions, experiential events, fundraisers and events booked by external parties
- Coordinate invoicing
- Manage all event and meeting inquiry forms
- Update intake forms and collect data
- Coordinate facility contracts and agreements
- Put together cohesive and description run of shows
- Design new events in line with ICNC’s mission
- Identify and tracks key metrics for success of events
- Connect with industry experts to speak at events
- Manage inventory and ordering
- Monitor spending and ensure events remain within budget
Event Venue Coordination
- Maintain a clean, efficient and operational space
- Coordinator and oversee facility meetings, markets, programs and event rentals for ICNC, Make City, and The Hatchery
- Provide exceptional customer service to clients and guests
- Coordinate custodial, event, class, and program logistics
- Build on processes, systems and training tools for event bookings and management
- Inspect and maintain program equipment, ensuring that maintenance and repair needs are addressed
Communications Support
- View facilities through “marketing” lens to keep signage updated
- Handle complex administrative tasks related to communications
- Act as lead photographer for events when applicable, and maintain organized archival of photos for marketing efforts
- Develop and maintain marketing and event SOPs for consistency
- Create signage and printed materials for events
- Communicate with property management, maintenance team, administrators, and all organizations to ensure everyone is aware of events and happenings
Requirements:
- Proven experience as an event coordinator
- College degree
- Exceptional organizational skills and ability to multitask efficiently
- Strong communication skills, both verbal and written
- Detail-oriented
- Ability to work flexible hours dependent on event schedule and business need
- Confident and fast thinker with the ability to resolve situations under pressure
- Proficiency in MS Office (MS Word, Excel, and PowerPoint in particular)
- Excellent time management skills and the ability to prioritize work
- Knowledge of office management systems and procedures
- Problem-solving skills
- Tech-savvy, comfortable using different and new kinds of technology
- Experience with Adobe Creative Cloud a bonus
- Experience in the food and/or marketing industry a bonus
- Ability to work flexible hours including occasional evenings and weekends
Salary:
$40,000-$43,000 plus benefits
