Landscaping company that specializes in interior plants and corporate living décor located near Damen and Grand has a great opportunity for the right person.
We provide buildings throughout Chicago land with plants, flowers and landscaping. The right person will provide high-level administrative, planning, and coordination support to the Owner, Operations & Service Team. We are looking for a person with strong organizational and communication skills, comfort working with various technology and applications, self-starter and a customer-service mindset. The candidate should enjoy operating in a dynamic and entrepreneurial environment. In addition, the Assistant will manage and perform a diverse set of support tasks.

Job Duties:
Assistant to Owner
- Maintain calendar for the owner; decide priority of the requests; prepare items/information as necessary for calendar items.
- Schedule and organize in-house and off-site meetings, training, and events.
- Write and distribute emails, correspondence memos, letters, and forms
- Document meeting notes and follow-up on meeting action items as needed
- Draft, update and edit documents, including presentations, using MS Office
- Keep team data tools and CRM (Hubspot) up-to-date with current and potential partners, key renewal dates, contact information, etc.
- Overtime as needed
- Research and coordinate special projects as needed
- Order necessary office supplies & plant supplies
- Update the SharePoint sites as needed
- Office Management duties including sorting mail, scheduling meetings, and other administrative tasks
- Create and organize internal processes
- Plan team social, community outreach or professional development events
- Provide onboarding support for all new team members and hiring managers
- Maintain correspondence with staff, employees, and business customers while providing outstanding customer service, acting with the appropriate sense of urgency.
Qualifications:
- Clear and effective communicator with excellent writing skills
- Strong administrative and organizational skills, demonstrated by the ability to manage multiple initiatives, executive scheduling, calendar management, travel planning and logistics.
- Excellent proficiency in Microsoft Office applications: Outlook, PowerPoint, Excel, Word, SharePoint.
- Experience in Hubspot a PLUS.
- Experience in Quickbooks
- Tech Savvy
- Well organized and flexible
- Attention to Detail and Problem-solving skills
- Associates Degree or higher with qualified experience supporting executive/small business owner
Hours of Operation:
- 8:00 – 4:30
- Hybrid 3 days onsite/2 days remote
