Operations Assistant - Chicago, IL

The company located near Western and Lake Streets in Chicago is a petroleum instrument company that manufactures and brings together high caliber instrumentation from top global manufacturers. We supply equipment that accurately tests the quality of fuels, biofuels, biodiesel and lubricants in refineries, pipelines and laboratories worldwide.

The right person will provide high-level administrative, planning, and coordination support to the Managing Director. We are looking for a person with strong organizational and communication skills, comfort working with various technology and applications, self-starter and a customer-service mindset.  The candidate should enjoy operating in a dynamic and entrepreneurial environment. In addition, the Operations Assistant will manage and perform a diverse set of support tasks that include but are not limited to the responsibilities listed below.

Activities

  • Work with department heads on meeting schedules and priorities for the coming year
  • Manage scheduling and communications for executive team
  • Organize financial documents including invoices, receipts and checks
  • Develop filing systems to help track and organize materials
  • Write and distribute emails, correspondence memos, letters, and forms
  • Order necessary supplies for executive team
  • Track commitments and obligations
  • Able to maintain strong, positive, collaborative working relationships and balance work supporting multiple departments
  • Provide operational support to other office positions
  • Manage bookings and coordination for events and meetings

Qualifications

  • Proficiency in MS Office (Word, Excel, PowerPoint) and Google sheets
  • Must be a quick learner with proven ability to work efficiently with high accuracy
  • Must be comfortable with managing multiple sets of priorities on a tight timeline
  • Exceptional organizational skills and ability to multitask efficiently
  • Strong ability to engage with a wide range of people professionally
  • Ability to manage multiple points of view, maintain composure and confidentiality
  • Attention to detail and problem-solving skills
  • Project management and QuickBooks experience are a PLUS

Hours:
8:30-5:00
 
Salary:
$45-55K and benefits
