ICNC is a non-profit organization that works to strengthen the companies in the Kinzie Industrial Corridor on Chicago's Near West Side. In addition to representing and providing assistance to hundreds of companies in its community, ICNC owns and operates Make City, a small business incubator which houses 100 small business tenants in its 416,000 square foot facility.
ICNC also co-owns the Hatchery, a food and beverage manufacturing incubator in Chicago’s Garfield Park neighborhood which assists food & beverage entrepreneurs grow their businesses. This facility is a one-stop-shop aiming to solve three major challenges in the industry: access to production space, financing, and resources.

POSITION DUTIES & RESPONSIBILITIES
The Administrative Coordinator is responsible for managing the digital and in-person office environment at Make City and The Hatchery, including technology and data management support, compliance, reporting, and day-to-day administrative operations. This is a full-time position and reports directly to the Administrative Manager.
QUALIFICATIONS
Office environment and ICNC will provide a computer and workspace along with access to all software and systems needed for in-office and remote work. Incubator location varies based on day-to-day business needs. A technology reimbursement will be provided

POSITION DUTIES & RESPONSIBILITIES
The Administrative Coordinator is responsible for managing the digital and in-person office environment at Make City and The Hatchery, including technology and data management support, compliance, reporting, and day-to-day administrative operations. This is a full-time position and reports directly to the Administrative Manager.
- Assist with entering, managing, and configuring data across organizational systems and applications, with a focus on Salesforce, SharePoint, Keeper, Envoy, Skedda, and Food Corridor
- Oversee the daily operations of The Hatchery and Make City office, including opening, closing, and greeting guests
- Ensure that workspaces are functional and well-maintained, including cleanliness and setup of hot desks and conference rooms
- Onboard new staff and support their development in computer literacy, including training on key software applications like Salesforce, Teams, and SharePoint
- Manage vendor relationships and maintain office equipment, such as computers, printers, and phones
- Consolidate and organize existing digital archives with clearly defined file architecture, access, owner, and edit rights
- Work in tandem with the Administrative Manager to ensure accuracy and readability in all internal documentation, SOPs, and guidelines
- Manage external communications, including correspondence with grant and sponsor organizations
- Assist the Administrative Manager in organizing internal and external events, handling logistics, catering, invitations, and follow-up activities
- Oversee inventory systems for equipment, office supplies, and mail delivery
- Assist with various short-term and other related duties as assigned
QUALIFICATIONS
- Prior administrative assistance experience is a plus
- Excellent administrative and organization skills with the ability to pay attention to details
- High energy self-starter who is outgoing and has a passion for the mission of ICNC
- Willing to act as a brand-ambassador for the organization
- Able to maintain strong, positive, collaborative working relationships and balance work supporting multiple departments
- Ability to quickly learn new software programs and applications; experience with the following a plus: Salesforce, SharePoint, Active Campaign, Constant Contact, Envoy, Skedda, QuickBooks, Food Corridor, ADP
- Strong communication skills, both written and verbal
- Exceptional scribe/note taker- able to synthesize notes and share action items
- Experience with MS Office applications
- Able to work effectively under time pressure and/or deadlines and maintain a high level of confidentiality

POSITION STRUCTURE & BENEFITS/INCENTIVES
- This is a full-time, hourly position, eligible for overtime; Monday-Friday, work schedule can vary; with the ability to work remote up to 20% of work week after initial training/orientation period
- Starting hourly range is $21.20-$23.84 per hour; commensurate with experience
- Benefit incentives include: one week paid vacation to start, one week personal/sick time off and twelve paid holidays, participation in group health insurance plan, simple IRA match, short and long term disability, life insurance, tuition reimbursement, professional development training, flexible spending accounts and employee assistance program
