ICNC is a non-profit organization that works to strengthen the companies in the Kinzie Industrial Corridor on Chicago's Near West Side. In addition to representing and providing assistance to hundreds of companies in its community, ICNC owns and operates Make City, a small business incubator which houses 100 small business tenants in its 416,000 square foot facility.
ICNC also co-owns the Hatchery, a food and beverage manufacturing incubator in Chicago’s East Garfield Park neighborhood which assists food & beverage entrepreneurs grow their businesses. This facility is a one-stop-shop aiming to solve three major challenges in the industry: access to production space, financing, and resources.

The Events & Incubation Coordinator is responsible for developing and managing exceptional events for partners, members and the community and act as lead for all event inquiries. This coordinator also provides administrative support for incubation activities. This is a full-time position and reports directly to the Incubation Manager.

POSITION DUTIES & RESPONSIBILITIES
The Events & Incubation Coordinator is responsible for developing and managing exceptional events for partners, members and the community and act as lead for all event inquiries. This coordinator also provides administrative support for incubation activities. This is a full-time position and reports directly to the Incubation Manager.
Event Coordination
- Coordinate and manage all event bookings including but not limited to partner events, immersion experiences, panels, incubator tours, pitch sessions, community and networking events and fundraisers
- Manage, update, track and respond to all meeting and event inquiry forms in a timely manner
- Coordinate invoicing, agreements, run of show and ensure all policies are followed
- Oversee all internal events, leadership team meetings and board meeting bookings
- Manage Skedda along with all meeting room bookings with tenants
- Identify and track key metrics for success of events
- Oversee all common area spaces, generate room layouts, and ensure everything is correctly allocated
- Connect with industry experts to speak at events
- Promote relevant events to external parties
- Manage inventory and ensure all furniture and materials are safe and secure
- Identify room enhancements and new materials needed within the space
- Ensure events remain within budget
- Coordinate immersion and event requirements including staff support
- Capture photos, testimonials, and general feedback from events.
Community & Member Engagement
- Build and maintain relationships with tenants and local community organizations and track their success
- Maintain an up-to-date preferred vendor list
- Integrate members into events as caterers, demonstrators, panelists and more
- Track Hatchery member and tenant revenue generated through events.
- Coordinate all Sprout Cohort meetings and connect entrepreneurs to internal resources
- Identify additional opportunities and programs for West side entrepreneurs
- Track and report all member assistance for Great Game of Business reporting
- Assist in coordination for member participation in trade shows and events.
Communications & Administration
- Positively represent the organization and its mission
- Develop and maintain event SOPs for consistency
- Develop systems and processes for member events at the Make City Incubator.
- Work with marketing team to create signage, printed materials, and draft copies for events
- Share events and community happenings with all stakeholders
- Track all necessary data and share reports
- Ensure member list is updated on the website and update preferred vendor list
- Construct and distribute surveys, templates and tracking tools
- Conduct research to verify market rates for events and room bookings
- Other events and incubation-related duties as assigned
- Take notes during Hatchery and Make City monthly town hall
QUALIFICATIONS
- 3+ years of relevant experience in event and/or project management
- Excellent time management and organizational skills
- Strong communication and people skills
- Ability to multitask

- Ability to professionally communicate with high level executives

- Positively represents the organization and its mission
- Ability to create systems and processes to improve guest and staff event experience

- Able to work in a fast-paced environment to meet established goals and deadlines
- Working knowledge of computer applications, programs, and features
- Willingness to work flexible, varying hours, including occasional evenings and weekends as needed
- Ability to coordinate collaborative meetings both in person and online via Microsoft Teams

POSITION STRUCTURE & BENEFITS/INCENTIVES
- This is a full-time, hourly position, eligible for overtime; Monday-Friday, with some evenings and weekends, work schedule can vary; with the ability to work remote up to 20% of work week after initial training/orientation period
- Starting hourly range is $18.67-$20.99 per hour; commensurate with experience
- Benefit incentives include: one-week paid vacation to start, one week personal/sick time off and twelve paid holidays, participation in group health insurance plan, simple IRA match, short and long term disability, life insurance, tuition reimbursement, professional development training, flexible spending accounts and employee assistance program
- This position is eligible to participate in ICNC’s Great Game of Business growth incentive bonus plan
