ICNC works to strengthen the companies in the Kinzie Industrial Corridor on Chicago's Near West Side. In addition to representing and providing assistance to hundreds of companies in its community, ICNC owns and operates Make City, a small business incubator which houses 100 small business tenants in its 416,000 square foot facility.
ICNC also co-owns The Hatchery, a food and beverage manufacturing incubator in Chicago’s East Garfield Park neighborhood which assists food & beverage entrepreneurs grow their businesses. This facility is a one-stop-shop aiming to solve three major challenges in the industry: access to production space, financing, and resources.

The Office Manager/Administrator will be responsible for managing the office environment at The Hatchery, including technology and data management support, frontline customer service and day-to-day administrative operations. We are looking for a person with strong organizational and communication skills, comfort working with various technology and applications, and a customer-service mindset. The candidate should enjoy operating in a dynamic and entrepreneurial environment, supporting entrepreneurs in growing their food businesses and working with an exceptional ICNC-Hatchery team on promoting inclusive economic growth on the West Side of Chicago. The candidate should be comfortable working with people at all levels internally and at external organizations. This position reports to the Chief Operating Officer.

PRIMARY RESPONSIBILITIES
- Oversee the daily operations of The Hatchery office including opening and closing office
- Manage primary office phone/email and welcome visitors in person
- Manage vendor service and maintenance as needed for office equipment (e.g. computers, printers, phones, etc.)
- Organize existing digital archives with defined file architecture, access, owner and edit rights
- Support staff with use of computers and applications; assist with managing IT vendors
- Assist with entering and managing contact information across organizational systems and applications (including Salesforce, SharePoint, Active Campaign, Constant Contact, Envoy, Skedda, QuickBooks, MRI, Food Corridor, etc.)
- Maintain systems for organizing inventory of equipment, office supplies and mail delivery
- Revise and update standard operating procedures, policies and manuals to enhance office productivity
- Support team with travel accommodations and conference reservations
- Manage communications (e.g. memos, letters, applications, reports) with various external stakeholders, including grant and sponsor organizations
- Assist with coordinating company events and onsite event set-up
- Assist with various short-term assignments throughout the day as assigned
- Assist with marketing and act as a liaison for community-based programs.
Capabilities & Qualifications
- Excellent administrative and organization skills with the ability to pay attention to details
- High energy self-starter who is outgoing and has a passion for the mission of The Hatchery/ICNC and can represent both as a brand-ambassador
- Able to maintain strong, positive, collaborative working relationships and balance work supporting multiple departments
- Ability to quickly learn new software programs and applications; experience with the following a Plus: Salesforce, SharePoint, Active Campaign, Constant Contact, Envoy, Skedda, QuickBooks, MRI, Food Corridor, ADP
- Strong communication skills, both written and verbal
- Exceptional scribe/ note taker- able to synthesize notes and share action items
- Experience with MS Office applications
- Prior administrative assistance experience is a Plus
- Able to work effectively under time pressure and/or deadlines and maintain a high level of confidentiality.
- ICNC: casual office environment within incubator housing 100+ companies;
- The Hatchery: casual office environment within shared kitchen facility with 80+ food and beverage businesses.
POSITION STRUCTURE & BENEFITS INCENTIVES
- This is a full-time onsite position; 40 hours per week; 8:30am-5pm, Monday-Friday;
- Starting annual salary range is $40K-$47K; commensurate with experience;
